TERMS & CONDITIONS
Whilst we make every effort to make your motorhome holiday as easy and carefree as possible, we must apply the following terms and conditions, in order to protect both the hirer and the company.
These terms and conditions should be agreed to and signed for prior to commencement of the hire.
a) be between the age of 25 and 65 years of age at the time of booking, and during the hire period. Up to 2 drivers can be named. (Subject to acceptance by insurer)
b) have held a full licence for a minimum of 2 years with driving experience.
c) have licences free of driving offences/accidents except for minor speeding offensives.
d) provide original licence documentation. (. 2 other forms of ID will be required at time of booking and on commencement of hire. e.g. passport and utility bill dated within the last 3 months.
e) complete our Driver Declaration Form. This can be completed before collection of the vehicle, but must be presented and signed at collection.
f) declare anything that may affect the insurance of the vehicle. E.g. previous driving bans, health issues etc.
g) ensure that all passengers are wearing seatbelts where fitted, and where required by law.
Additional drivers, and other convictions will be considered, but will only be accepted at the discretion of our insurer, and may incur additional charges. Please contact for details.
The Hirer will be liable for all expenses, fines, endorsements etc, incurred due to violation of traffic laws, regulations etc.
2. BOOKING PROCEDURES
a) A booking deposit of £500 is required at time of reservation. This will be deducted from the total hire charge at time of paying balances. This deposit is non refundable in the event of cancellation.
b) Bookings can be made by completing our Booking Form and on confirmation of availability. Telephone bookings can be made but only held for a period of 7 days if deposit is not received.
c) Your booking confirmation will be sent to you with an invoice in respect of the balance of hire charges. This all must be paid at least 60 days prior to commencement of hire. Bookings made less than 60 days from date from hire, must be paid in full at time of booking.
d) All cheques should be made payable to: Allways Motorhomes
e) You will be required to complete a Drivers Declaration Form, and sign a copy of the Terms and Conditions prior to commencement of the hire.
Full Comprehensive Insurance for the vehicle is included in the hire charge. This does not include internal fixtures, fittings and equipment, or any Optional Equipment that may have been added. Hirers are advised to take their own insurance which includes personal possessions. There may be insurance surcharges dependant on driving history, minor convictions, and health restrictions. It is the hirers responsibility to provide full and accurate information. In the event of the motor policy being invalidated because of non disclosure of relevant facts the company will hold the hirer responsible for all losses, fines and any other eventualities.
There is a £500 security deposit to cover any excess payable for any damage or loss for any one incident or accident whilst the vehicle is on hire to you or in your care.The security deposit will be returned within 7 working days of the end of the hire if there is no damage, shortages or surcharges and incurred fines. In the event of any damage resulting from the actions of a 3rd party, for which we are able to reclaim the excess, the security deposit will be returned once we have recovered this excess.
The motorhome is only insured for the hire period ie collection date & time and return date & time. If you are likely to be late in returning, you must contact us immediately, so that we can make the necessary arrangements.
Driving of the vehicle after the expiry time may result in the driver committing a traffic offence and liable to criminal prosecution under Road Traffic Acts. Furthermore the hirer will be responsible for any accidental damage, injury and consequential after the expiry of the hire period.
A Security Deposit of £500 is payable on the day prior to the collection of the vehicle.Details will be taken by telephone. This Deposit will be held against any & every accident in which the hirer was involved, and against any loss or damage to contents.
Items not covered under the insurance, and which are the sole responsibility of the hirer are:-
1) Windscreen and all other glass
2) Loss/damage/theft to the radio, stereo equipment and aerials
3) Interior damage including; burns to seats, carpets, and other damage
4) Vandalism and malicious damage of any kind to the vehicle
5) Personal effects within or from the vehicle
6) Overhead damage resulting from any incident.
All drivers must be aware of the height of the motorhome and are responsible for all damage if driven under an obstruction that is too low for it to clear - the obvious examples are low bridges and height restrictions into car parks etc. In this event insurance cover will not apply and the hirer will be responsible for the repair of all damages.
Please note that overhead damage is defined as above 6ft height from the ground.
If the vehicle is returned on time and in a clean and undamaged state with all components & accessories accounted for the Insurance Security Deposit (£500) will be returned to the hirer within 7 days after the end of the hire period.
4. COLLECTION & RETURN
Standard Times - The Motorhome is available for collection Fridays & Saturdays between 1pm & 4pm and must be returned no later than12.30am the following Friday or
Saturday. Other arrangements can be made, but these must be agreed in advance, depending on the availability of the vehicle.
a) Failure to return the motorhome within the agreed time on the last day of the day of the hire means the vehicle is not insured and renders the hirer to criminal prosecution. Failure to return on time also incurs a penalty of £50 per hour or part thereof, together with any other costs incurred, including any compensation payable to the subsequent hirer.
b) No refunds will be given if the motorhome is returned early.
c) Upon return of the motorhome a representative of the company will check the vehicle for damage, cleanliness,shortages,fuel,tyres,washroom area, kitchen/fridge, hired options and any other associated items.
d) Hirer's vehicles can be left at our vehicles locations, which are secure sites with cctv security 24/7. Vehicles are left at the owners own risk, and no liability will be attributable to Allways Motorhomes.
5. ACCIDENTS OR BREAKDOWNS
a) While we assure you that every effort is made to ensure that the motorhome is in a safe and roadworthy condition prior to the hire period, in the unlikely event of a breakdown, the vehicle is covered for roadside assistance, and recovery 24/7. We the company will not be held responsible for any hotel or consequential expenses, or any 3rd party claims or damages, subsequent to any breakdown of the motorhome.
b) The hirer may authorise repairs and replacements up to fifty pounds (£50) and will be reimbursed on supply of a valid VAT receipt. The hirer must obtain permission from the company for repair and replacement costs above fifty pounds (£50), prior to any work being carried out.
Please note - where the company incurs costs through negligence on your part, any charges incurred by the company will be passed onto you. Incidents of negligence include, but are not limited to, running out of fuel, using wrong fuel, locking the keys inside vehicle, losing keys. Please make sure you use the correct fuel to prevent these costs to you.
c) All accidents must be reported to us immediately, for further instruction. An accident report must be completed and returned to us on termination of the hire. All details of the accident, and all parties and vehicles involved, should be recorded on the accident forms provided. Should damge to the vehicle require specialist repair we may require you to return the vehicle earlier than the term of the rental period.
Repairs must first be authorised by ourselves and VAT receipts retained in order for us to reimburse the cost.
We the company will not be held responsible for any hotel or consequential expenses, or any 3rd party claims or damages, subsequent to an accident.
6. DIESEL, GAS OIL:
a) A full tank of diesel will be provided when you collect the motorhome. You are required to return with a full tank. Any shortage will be charged at the local rate + 15% per litre or part thereof. The Hirer will be liable if the incorrect fuel type is used.
b) It is the hirers responsibility to check that the oil water levels of the engine are checked on a daily basis.
c) Gas cylinders are supplied full or part full. If you run out of gas please replace the cylinder at a camping site or garage. Bring a receipt on your return & we will fully reimburse the cost of the gas.
7. ADDITIONAL CHARGES
Our motorhomes and equipment are supplied in the best possible condition, and we ask that you maintain that standard & return the vehicle in a similar condition as received. Should this not be the case, we reserve the right to make charges against the security deposit. A full list of Inclusive Equipment is included in the vehicle, including replacement costs.
Possible causes for non return of insurance security deposit:-
Optional extras if beyond repair cost of repair or replacement
Fuel tank must be full on return
Failure to return on time will be charged at £50 per hour of lateness.
Cancellations must be in writing and are charged as follows: Less than 6 weeks prior to commencement of hire - Loss of deposit. From 2 up to 6 weeks prior to commencement of hire- loss of deposit and 50% of the hire cost. Less than 2 weeks prior to commencement of hire- loss of the full hire cost.
The Company reserves the right to cancel the hire if at the commencement of the hire the driver's licence(s) are invalid or do not meet our terms and conditions for hire. In these circumstances the total hire charge will be forfeited. Hirers are strongly advised to insure against any unavoidable cancellation.
Smoking inside the motorhome is strictly prohibited. Penalty for failure to comply £100
Animals are not permitted in the motorhomes.
Every effort will be made to ensure that the motorhome reserved is available,. However if due to circumstances beyond our control the vehicle is not available we will in no way be held responsible. We will endeavour to supply a similar replacement vehicle, failing which all monies paid will be refunded.
We (the company) reserve the right to vary the rates and conditions at any time and to cancel or refuse hire to any person without explanation or prior warning.
12. INTENDED METHOD OF PAYMENT
Cheque or Bank Transfers are all accepted methods of payment.
13. In order to to expedite the handover of the vehicle on collection day please phone us the day prior to assist with your security deposit details.
